Executive Administrative Assistant

We have an immediate opening for an Administrative Assistant in our University Park office. This position provides a very high level of administrative and clerical support to the Clinic's Executive Director. Serves as liaison to the Clinic's Board of Directors, donors, staff and others while ensuring confidentiality, accuracy and completion of work in a collegial, organized and timely manner. Initiates and assumes primary responsibility for projects that enhance the overall functioning of the Executive Office. This position includes exposure to mental health services clients and their families, as well as to sensitive and confidential information that requires considerable use of tact, diplomacy, discretion and judgment as it represents the Clinic & contributes to its overall vision and work. The Executive Administrative Assistant must be committed to the Clinic's mission and goals.

Responsibilities:

Essential Duties and Responsibilities: Others will be assigned.

1. Acts as a liaison between the Executive Director and members of the Board of Directors as well as members of the Executive Management Team to follow-up/ensure projects are completed as planned, identify and track deadlines for meetings, reports, proposals and contracts; prepares orientation manuals, and Board documents.

2. Assists with Board and other meeting information by drafting, coordinating and distributing agendas, notices, reports, communication packets, presentations, and other documentation, attends and takes minutes of Board meetings.

3. Manages the Executive Director's office:

  • Works closely with the Director and Management Team, Board Members, major donors, elected officials, community leaders and staff, and acts accordingly when representing the Director;
  • Displays the highest level of confidentiality, independence, and sound judgment;
  • Provides general and specific administrative and clerical support to the Executive Director, including but not limited to gathering and analyzing data, preparing drafts of correspondence, transcription, presentations, spreadsheets, reports (i.e. travel & expense reports, check requests, memos, etc.), and reviews outgoing correspondence prepared by other staff for the Director's signature.
  • Maintains routine workflow in absence of Director; may manage Director's personal calendar and schedule of routine meetings and notices;
  • Maintains the Director's comprehensive calendar of dates significant to Clinic operations, such as scheduled Board meetings and Committee meetings; renewal or revision of recurring policies, contracts, resolutions or other items; tracks time sensitive projects, following-up well in advance of deadlines;
  • Provides for an organized work environment by disseminating, tracking and maintaining information/data and implementing appropriate organizational systems;
  • Handles phone calls and visitors for the Director, when appropriate;
  • Receives, screens, routes the Director's mail, email, telephone calls and publications; prioritizes or responds to requests for information in a professional and courteous manner;
  • Processes requests for reimbursement, petty cash, credit card purchases, supplies, business cards, and other expenses in accordance with proper approvals and budgets; researches and resolves related problems;
  • Arranges and coordinates teleconferences and other special events; plans and presents the Director's travel itineraries; makes reservations, contacts vendors, maintains calendar and manages details;
  • Conducts directed internet research, summarizes content for Director's review.
  • Performs other, related work relevant to Clinic operations.

Requirements:

  • Minimum of 3 years of experience providing complex clerical and administrative support to Executive Management personnel.
  • Supervisory: may directly oversee other staff. He or she is also expected to provide leadership and training to less experienced staff where appropriate.
  • Equipment: telephone, fax, cell phone, computer, printer & related equipment, copiers, personal automobile or public transportation, adding machine, calculator.
  • Software: Superior skills in Microsoft Office (Word, Excel, PowerPoint), Internet search tools and ability to analyze reports using same; proficiency in Access desirable.
  • Math skills sufficient to monitor budgets, manage petty cash, prepare routine spreadsheets; calculate balances/invoices/expense reports & similar items.
  • Thorough working knowledge of business English, spelling, & punctuation; excellent writing skills, plus demonstrated knowledge of contemporary general office practices and procedures; pleasant telephone demeanor;
  • Demonstrated ability to learn & manage Clinic operating policies and procedures and model appropriate practice of same;
  • Demonstrated knowledge of, or ability to quickly develop knowledge of, mental health services that emphasize culturally sensitive practices and strength-based practice methods;
  • Ability to think clearly & quickly to independently solve problems and make routine recommendations;
  • Demonstrated ability to maintain strict confidentiality, maintain complex files, records and official documents, including Board materials; will attend Clinic HIPAA training & be expected to comply with all related confidentiality requirements;

Custodian

We have immediate openings for a Custodian.

Responsibilities: The Custodian will keep Clinic grounds, offices, meeting rooms, etc. clean and in orderly condition, provide room set-ups, take-downs and clean-ups for meetings and seminars, tend to basic maintenance and repair functions for Clinic property, assist the site manager(s) performing in and/or contracting for routine, scheduled maintenance of building systems, and other similar tasks. This position may travel between all Clinic sites, in an approximate six mile area.

Requirements: The position requires basic knowledge related to the safe and effective handling and storage of various common cleaning compounds, and basic knowledge related to proper general housekeeping, cleaning and sanitation practices. The successful candidate must also know or very quickly acquire basic knowledge related to the proper use of repair tools, and basic repair procedures. The position further requires an individual with good physical stamina, including the ability to lift and move boxes and other heavy loads up to 75 lbs., as well as the ability to maintain a pleasant and service-oriented demeanor in the face of on-going requests for housekeeping services from multiple individuals including vendors. A valid California driver license and a driving record that is insurable by the Clinic are required, as is the ability to communicate in grammatically correct English and respond to written service requests. This position may also provide verbal & written reports to the Facility Coordinator. Other duties may be assigned.

Development Associate

We have an exciting opportunity for a full-time Development Associate to join our fundraising team.

Duties & Responsibilities: Working with the Director of Development contributing to the Clinic’s fundraising projects and community relations activities, including:

Writing and overseeing production and dissemination of public information materials, including brochures, newsletters, annual reports and e-news updates; Preparing and distributing news releases, feature stories or columns, and public service announcements to print and electronic media regarding specific events and activities of the Clinic; Representing the Clinic at community meetings and events, ensuring that the Clinic’s needs and interests are addressed as appropriate; Managing donor and community contact database, including regular gift processing in conjunction with Accounting Department, gift acknowledgement, updating records (contacting donors as necessary), generating and reconciling financial reports and creating customized mail merges for various projects; Coordinating special events, including establishing timelines to track and execute all related tasks, recruiting and training in-house and external volunteers, negotiating with vendors, developing and overseeing production of event-related printed materials, e.g. invitations and event programs; and Overseeing Development Department administrative tasks, including processing purchase orders, replenishing office and publicity supplies, scheduling meetings, etc.

Qualifications: An undergraduate degree from an accredited college or university; at least two years of professional experience in a fundraising environment, preferred.

This position works closely with the Director of Development, as well as other Development and Clinic staff and requires a high level of personal initiative and skill in both written and verbal communication. This position has significant contact with various Clinic stakeholders (staff, board members, elected officials, funders, media, volunteers, contractors, e.g. graphic designers, printers, mailing house, etc.) and requires a professional demeanor and appearance, the ability to think independently and generate ideas, sound judgment, and the ability to communicate and function effectively with individuals of varying backgrounds. Must have strong organizational and computer skills, familiarity with donor databases software (proficiency with DonorPerfect preferred) and Publisher software; experience coordinating special events and developing marketing and community relations materials; the ability to handle multiple tasks and projects under deadline, without losing productivity or attention to detail; and experience working as part of a team, while also demonstrating initiative and ability to work independently. Solid interpersonal communication skills and comfort dealing directly with donors, media, representatives of elected officials, staff, board members, volunteers and other Clinic stakeholders.

Latency Program Coordinator

We have an immediate opening for an energetic Coordinator to supervise the latency afterschool day treatment program.

Duties & Responsibilities: This position will supervise an existing, successful day treatment program. The Coordinator will: supervise Clinical Therapists, Milieu Aides and Family Advocates including but not limited to hiring, scheduling, training, evaluating, providing in-services, and running team meetings; oversee daily program duties including but not limited to intakes, census, incident reporting, consulting with Directors, clinical supervisors, medical doctors, Clinic peers or other specialists and timely completing written reports and any other paperwork. Other duties will be assigned.

Qualifications: The position requires a master’s degree or “equivalent” (Ph.D., Psy.D., MSW, MA or MS) plus clinical experience and/or training directly related to children and child counseling. Applicants with demonstrated knowledge of providing mental health services to latency age children, day treatment regulations and the ability to perform clinical and administrative duties are preferred. Current registration with the appropriate licensing board and a valid, CA driver license & insurable driving record are required.

The successful applicant will also complete TB and fingerprint clearance requirements, per Clinic policy. Strong organization, communication and teamwork skills are a must, as is the ability to maintain a calm demeanor while handling multiple tasks without losing productivity. Licensure with sufficient number of years to be able to supervise interns, and bilingual Spanish speaking ability are also highly desired. Milieu Aide - Latency Program

We have an immediate opening for a Milieu Aide in the Latency Program.

Duties & Responsibilities: Aides work in an after-school program providing mental health services to children ages 6-10 years. The Aide will work with therapists and groups of clients as part of a multi-disciplinary mental health team providing education, behavior management and therapeutic services to seriously emotionally disturbed and learning disabled children and adolescents.

Aides prepare group materials; organize and participate in a wide variety of mental health activities; may perform PART interventions, work with individual children or small groups on special tasks; observe behavior and perform Clinic-sanctioned behavior modification and intervention; provide field trip and transportation supervision on Clinic vans; timely complete duties including but not limited to paperwork, keep records, and perform other, similar paraprofessional job duties.

Qualifications: : Milieu Aide I & II: depending upon experience and education. The position requires a minimum of an AA degree or equivalent number of units with a minimum of 4 completed courses in psychology, education, child development or adolescent development.Applicants holding a bachelor’s degree are eligible for the higher pay band of a Milieu Aide II position. Applicants holding a bachelor’s degree and 4 or more years of verified experience in a mental health setting are eligible for consideration to work as a Mental Health Rehabilitation Specialist if a position is available within the program, providing additional case duties at a higher hourly rate. Previous experience working with SED children or adolescents, demonstrated ability to work on a multicultural team, and bilingual Spanish speaking ability are highly preferred.

Clinical Therapist - Outpatient (Exposition Park Office)

We have an immediate opening for a full-time Clinical Therapist. The Clinical Therapist works as part of a multidisciplinary team providing mental health services to children or adults and their families/caregivers. The first assignment for this position will be working in the Access department, part of our Outpatient Services division.

Duties & Responsibilities: The Clinical Therapist: may serve a caseload of clients, provides walk-in clinic services and performs intakes; visits school and home, interviews and collects information from clients, identifies symptoms, makes diagnoses and develops a therapeutic or treatment plan with the treatment team, plans and administers therapeutic treatment within accepted professional guidelines, runs therapy groups for children & parents/caregivers, and provides family/group therapy on and off site. Also, consults with clinical supervisor, medical doctor, Clinic peers or other specialties. Timely completes required progress notes and paperwork. Meets or exceeds productivity requirements. May be assigned to school-based services at area schools, and performs other similar duties.

Qualifications:Minimum of a master’s degree or equivalent ( MSW, MA, Ph.D., PsyD, or MS) plus clinical experience and/or training directly related to children and child counseling. While at least 1000 completed hours toward licensure is preferred, applicants with less than 1000 hours will be considered. Supervised clinical hours for master’s level clinicians obtaining hours toward licensure is provided. Current registration with licensing board is required, as is a valid, CA driver license and insurable driving record. Bilingual Spanish speaking ability is highly desired. Fingerprint clearance through the Department of Justice and current TB clearance are also required.

Clinical Therapist - Full Service Partnership (Bilingual Spanish prefered)

We have an immediate opening for a Clinical Therapist in the Full Service Partnership program who will work as part of a multidisciplinary team providing mental health services to children or adults and their families/caregivers .

Duties & Responsibilities: As a team member, handles cases as assigned, or performs intakes, for which the Therapist interviews and collects information from clients, identifies symptoms, makes diagnoses and develops a therapeutic or treatment plan, runs therapy groups for children & families, plans and administers therapeutic treatment within accepted professional guidelines, makes home visits and counsels clients with accepted methods to assist client. Also consults with clinical supervisor, medical doctor, Clinic peers or other specialists and timely completes required progress notes and paperwork. Meets or exceeds productivity and timely expectations. Other duties may be assigned in this program that provides services 24 hours a day, seven days per week.

Qualifications: The position requires a master’s degree ( MSW, MA or MS), and at least 1,000 hours of clinical experience. Training directly related to children and child counseling is preferred. (Applicants with less than 1000 hours will be considered.) In keeping with Clinic policy for all employees, the successful applicant must also complete a test for TB and fingerprint clearance by the US Department of Justice. A valid CA driver license and an insurable driving record are required. Bilingual Spanish speaking ability is preferred. Current registration with licensing board is required.

Clinical Therapist - Leimert Park Office

We have immediate openings for full-time Clinical Therapists in our office located in the Leimert Park area of Los Angeles. Some positions will be assigned to specific programs, such as school-based services or the Clinic’s Systems of Care program.

Duties & Responsibilities: For a case load of clients and intakes, the Clinical Therapist: interviews and collects information from clients, identifies symptoms, makes diagnoses and develops a therapeutic or treatment plan, plans and administers therapeutic treatment within accepted professional guidelines, may run therapy groups for children & parents/caregivers, provides family/group therapy on and off site, counsels clients with accepted methods to assist client, may visit school and home or foster care placement, and meets or exceeds minimal, monthly productivity requirements. Also, consults with clinical supervisor, medical doctor, family advocates/case managers, Clinic peers or other specialties. Timely completes required progress notes and paperwork. Refers clients for additional therapeutic and/or assessment services as necessary. Consults with clinical supervisor, medical doctor, Clinic peers or other specialist(s) concerning treatment plan, and amends plan as appropriate or necessary. All therapists are required to attend clinical & other supervision as scheduled, including annual all-staff training events. Will perform other, similar duties to ensure provision of quality mental health services

Consumer Partner - Transition Age Youth Full Service Partnership - Half Time Position

We have an immediate opening for an energetic individual to work in our Transition Age Youth Full Service Partnership program.

Duties: Under the guidance of the Director of the Life Learning Program, the Consumer Partner will work as part of a multidisciplinary team supporting the provision of mental health services to transition age youth and their families receiving services. The Consumer Partner must have personal experience being a mental health consumer. The Consumer Partner supports consumers by listening to them and working to develop communication between them and the treatment team; helps educate consumers to advocate for themselves; facilitates self-help consumer groups, attends court hearings, IEP meetings and other events at the consumer/parents/caregivers' request to provide support.

The Consumer Partner assists in developing and implementing consumer support activities; models appropriate practices, maintains communication with consumers and families, attends and assists in the operation of the program; supports and ensures the recruitment of consumers and families to participate in program related activities; helps program staff enhance coordination and community services based on consumer/family concerns, needs, and priorities; assists families in making choices and accomplishing the program's family service goals; increases consumer/family awareness of mental health; support referrals; works with staff to coordinate needed resources for consumer/families (services, donations, discounts, and/or goods) and performs other duties as assigned. The consumer partner will provide on-call & other services 24 hours per day, seven days a week. Other duties will be assigned.

Minimum Qualifications: The position requires a high school diploma. At least two years of experience supporting a community-based mental health services program and experience maintaining strict confidentiality is preferred.  Candidates must have strong ability to communicate in a team and mobilize and motivate people, as well as organizational and interpersonal skills. In addition, strong verbal and written communication skills are required, preferably bilingual Spanish speaking. Commitment to FSP philosophy of service providers and community partners by doing “whatever it takes” to achieve positive outcomes for transition age youth and families receiving services . Experience working with other service providers to “do whatever it takes” to achieve positive outcomes for clients is preferred. TB, fingerprint clearance from Department of Justice and clearance for Jail Security and Probation Background requirements must be met. Must drive own car, have valid CA driver license and insurable driving record throughout employment. .

Hours, Rate & Benefits: This position is placed on the Clinic's Non-Management Salary Plan approx. $ 11.50 - $ 12.70 per hour plus pay differential for providing 24/7 services. Bilingual Spanish speaking earns an additional differential. Family Advocate - FSP Program

We have openings for a Family Advocate in the Full Service Partnership program primarily assigned to the Clinic's Intensive Services Division. This position will work with clients in both the Life Learning Program and Intensive Services divisions, with children ranging in age from 0-15.

Duties: Family Advocates work as part of multi-disciplinary teams providing case management and mental health services for adults, children and the family/caregivers who support them, provide screenings, home and/or on-sight services. These positions are assigned to the Clinic's 24 hour services FSP program.

A Family Advocate: assists in the development, implementation and monitoring of a service/treatment plan for each client that identifies the client’s personal, social, emotional, mental health, education, physical and/or financial needs and goals. Reviews and collects information related to the client’s socio-economic history, treatment history, educational history and other relevant data for the formulation of a distinct service plan. Participates with staff providing screening services to clients who attend the Clinic’s services, including completion of pay or financial information (PFI’s) forms and other needed/assigned documentation. Attends case conference meetings to assist and participate in case disposition and follow-up. Mediates and advocates on behalf of the client to help him/her obtain and keep suitable foster care/housing, health care and mental health service, education/school services, benefit entitlements, etc. Searches the community and presents options for additional needed or desired services (ei., emancipation services; sober living opportunities; education enrichment; scholarships, grants or job training programs; age-appropriate social opportunities; parenting classes). Performs other duties as assigned.

Qualifications: The position requires a BA/BS in social work or related field OR a license as an LVN or LPT, with an emphasis in community mental health work; a demonstrated history of presenting options for needed or desired services; a valid CA driver license and insurable (by the Clinic) driving record, to make home, school, job site/or other community-based visits in own vehicle to assist the client in living, learning and working successfully, is required. Bilingual/Biliterate Spanish ability highly preferred. In keeping with Clinic policy for all employees, the successful applicant must also complete a test for TB and fingerprint clearance.

Salary& Hours: Full time, depends on program and experience. These positions are placed on the Clinic's Non-Management Salary Plan, are eligible for differential pay for specific competencies and receive a generous benefits package.

Bonus/Differential: New hires and staff selected to transfer to the FSP program are eligible for a $400 signing bonus and a $2500 salary differential for work in this 24/7 services program. Bilingual Spanish speakers earn an additional differential.

Early Intervention Training Institute Director

Los Angeles Child Guidance Clinic is a private, non-profit, community-based mental health clinic with more than an 80 year history of service to the children and families of Central and South Los Angeles. The Clinic is a leading provider of mental health services which includes its Early Intervention & Community Wellness Division effectively working with at risk children under the age of five, as well as children's parents/caregivers. The Clinic offers much sought-after customized and/or topical early intervention training services to other mental health and allied professionals.

The Clinic has an immediate opportunity for an experienced, entrepreneurial professional to direct its established Training Institute, a separate social enterprise, within our Early Intervention Division. .

Responsibilities: For this entrepreneurial social enterprise, the Director works under the general, consultative supervision of the Clinic's Director of Early Intervention & Community Wellness to ensure that Institute operations proceed smoothly and efficiently within budget as it continues the Clinic's mission and position as a leading provider of mental health services. This position requires significant individual initiative to arrange, plan, schedule, and provide trainings, including but certainly not limited to all details of securing trainees, venues and staffing to provide the trainings themselves, evaluations of Institute services, collating data, researching possible topics and audiences, initiating communication with persons who may utilize the Institute's services and perform other, high level tasks.

This position also recruits trainers for the sessions which may be provided at various locations for mental health professionals of various educational backgrounds and experience levels who are interested in learning and honing their expertise to provide quality, direct mental health services using early intervention mental health service models. The Clinic's EI Training Institute current training topics to be expanded include clinical assessment and interventions appropriate for the prenatal to five populations. Other duties and tasks related to the Institute’s provision of quality training sessions are expected to be performed and will be assigned.

Qualifications: The EITI Director position requires unique, self-initiated task completion to secure and continue business contacts according to the Clinic’s mission. Ability to proactively secure, negotiate and continuously market training opportunities with key organizations, mental health providers, etc. plus strong management skills and a demonstrated ability to oversee the training institute administratively are vital. Advanced knowledge of dyadic models of infant mental health and relationship-based interventions, previous direct experience providing mental health services to the zero to five population and current, valid California licensure as a mental health services professional with previous experience providing clinical supervision to others obtaining hours toward a clinical, California license (BBSE or Board of Psychology registrants) are preferred, as is experience providing formal trainings to mental health and allied professionals.

A demonstrated commitment to culturally sensitive practices, reflective service models and strength-based practice methods is essential. Strong organization, communication and teamwork skills are a must, as is the ability to analyze and follow the Clinic’s EITI business plan and maintain a calm demeanor while handling multiple tasks without losing productivity. Demonstrated ability to easily navigate email, WORD and other computerized systems required. This position works on and off Clinic sites, requires a valid CA driver license and insurable driving record, and may travel as needed.

Clinical Supervisor - Full Service Partnership

We have immediate openings for Clinical Supervisors who meet either the Board of Behavioral Sciences' or Board of Psychology's requirements to supervise staff completing clinical hours toward licensure. Supervisors must meet or exceed their respective licensing Board's requirements to supervise staff collecting hours toward licenses by providing mental health services. We are specifically searching for a supervisor for the Intensive Services Division at our Exposition Park location.

Responsibilities: Clinical Supervisors work as part of multidisciplinary teams providing mental health services to children and their families/caregivers by providing clinical supervision to staff obtaining hours towards licensure in their respective disciplines, within Clinic and Board standards and performing related duties. Some positions may include a client case load and/or part-time status and/or contractor status, depending on duties performed. Supervisors also timely complete required notes, paperwork, supervision logs, attend meetings, provide staff trainings, may evaluate staff clinical skills and may meet productivity requirements, again depending on actual duties performed. Supervisors are responsible for reviewing supervisees chart documentation, and reviewing charts for timeliness and appropriateness of services. Supervisors may be assigned to Los Angeles County Department of Mental Health or other programs. Other duties will be assigned.

Qualifications:Minimum of a master’s degree or equivalent ( MSW, MA, Ph.D., PsyD, or MS) plus licensure and clinical experience and/or training directly related to children and child counseling. Clinical Supervisors must have and maintain current, valid licensure and sufficient years of experience to provide supervision to staff obtaining hours, per their respective Board requirements. Demonstrated knowledge of Board and Los Angeles County Department of Mental Health requirements highly preferred. Bilingual Spanish speaking ability is also highly desired

Clinical Therapist - MAT Assessors

We have immediate openings for Clinical Therapists in our Multidisciplinary Assessment Team (MAT) program that will assess children identified by the MAT program, focusing on their functioning, development, history, and family issues. Assessors will write comprehensive Summary of Findings reports, and present findings to DCFS staff.

Responsibilities: The MAT Service Team is comprised of therapists/assessors and a family advocate who provide an array of services within the scope of practice of each team member. These services include comprehensive assessment, crisis intervention, case management, and consultation. It is expected that the MAT Team works together with the family and DCFS to determine the most appropriate treatment and linkage to reduce functional impairments, incorporating the family’s strengths and desires, and create a permanent plan for the child.

Multidisciplinary Assessment Team (MAT) service providers are required to:

  • Engage with clients and caregivers within a week of case assignment, and make at least two home visits prior to completion of assessment.
  • Link the client and family to appropriate services through collaboration with family advocate.
  • Maintain ongoing communication and cooperation with DCFS staff and other involved agents (teacher, Regional Center, doctor, etc…).
  • Complete DMH Assessment and MAT Summary of Findings forms within 45 days, including MAT Team Meeting with family and DCFS staff.
  • Maintain caseload as determined by MAT Program Coordinator.
Requirements: The position requires a master’s degree or “equivalent” ( MSW, MA or MS) plus clinical experience and/or training directly related to children and child counseling. Bilingual Spanish speaking ability and licensure are highly desired. Current registration with a licensing board is required. Knowledge of Los Angeles County Department of Mental Health procedures and bilingual Spanish speaking ability are highly preferred.

Salary& Hours: Depends upon experience and licensure status. Bilingual Spanish speakers receive additional compensation. These positions are placed on the Clinic’s Non-Management Salary Plan. Secretary III

We have an opportunity for an experienced Secretary III to work for a program division. Applications are being accepted to work with the Director of the Early Intervention and Community Wellness, who also manages the Early Intervention Training Institute (EITI) at the University Park office.

Responsibilities: For this full-time position, the Secretary will work under the direct supervision of the Director to: oversee the general set-up and smooth operation of division operations (such as open, read and route mail, file, answer the telephone/email, greet visitors, take dictation, type reports, schedule meetings, manage the Director’s calendar, and other related tasks), draft, update and produce a wide variety of informational, statistical and other reports, track program management and program coordinators’ reports, calculate and track clinician/family advocate productivity reports, work with other Clinic managers to obtain program data, including but not limited to census reports, participant files, mailing lists, budget and supply reports, contract compliance and renewal documentation, client attendance reporting and other similar project reporting requirements. Must drive to all Clinic sites (within a six mile radius) and work off-site with a minimum of supervision. May maintain daily attendance log and vacation/sick log for staff. Attends meetings and takes, transcribes and maintains minutes of same. Participates with other clerical and administrative support staff in routine and special tasks that support interdepartmental and general Clinic functioning. May supervise lower level clerical personnel. Other duties will be assigned

Requirements: Bachelor’s degree (B.A. or B.S.) plus 1-2 years increasingly responsible secretarial experience or Associate’s degree (A.A.) or equivalent number of units from a post-secondary school or secretarial college plus 3-4 years increasingly responsible secretarial experience, or a high school diploma or G.E.D. with 6 years increasingly responsible experience. Strong organization, communication and teamwork skills are a must, as is the ability to maintain a calm demeanor while handling multiple tasks without losing productivity. Ability to write, edit, and proofread grammatically correct routine reports and correspondence. A valid CA driver license and an insurable driving record are required. Excellent Word, Excel, email/internet, Access and data management abilities to compile and provide detailed, accurate reports. This position may use a new Clinic Management Software System as it is implemented. Ability to work cordially with staff from all departments, visitors, and others plus maintain strict confidentiality are a must. A writing sample and task assignment will be required at interview.

Secretary I

We have an immediate opportunity for a Secretary I to work half-time supporting several programs. Assignments will vary, depending on various programs' needs.

Responsibilities:The Secretary I is responsible for general clerical duties and will work with various staff, including but not limited to Cal Works, Access and other programs. As a team member, the Secretary I will also be assigned to support any site as needed, as program demands shift. Duties will include: photocopying, sorting numerically and by alphabet, preparing & organizing information, typing, data entry, filing, organizing program paperwork, completing purchase orders, ordering and tracking supplies, answering phones, sending out notices via email, arranging copying machine maintenance, preparing reports, and other, similar clerical tasks. This position may also assist at Clinic events. Travel between sites in own vehicle is required. Other duties will be assigned.

Requirements: For the position, an Associates Degree (A.A.) or equivalent number of units from a post-secondary school or secretarial college plus 1-2 years increasingly responsible secretarial experiences preferred; high school diploma or GED is required, as is a valid California driver license and insurable driving record. Excellent English and Spanish skills with the ability to accurately translate from English to Spanish preferred. Accurate typing at a minimum of 40 wpm in WORD, a very high level of attention to the details of record keeping, the ability to spot, assess, and self-correct errors, and the ability to maintain a high level of personal productivity and professionalism with a calm demeanor in a very busy office environment handling a high volume of paper, telephone calls, and interruptions is required. Demonstrated ability to use various computer programs and office machines plus maintain strict confidentiality at all times is required.

Hours: Monday through Friday, determined by administrative needs.

Rate: $ 11.59 – 12.72 per hour, depending upon experience. This position is placed on the Non-Management Salary Plan.
